Since 1947, nonprofit study abroad and intercultural exchange organization CIEE has been bringing the world together, advancing peace by building bridges of mutual understanding between different people, different countries, and different cultures.
The Program Assistant is a key team member for ensuring the success of summer College programs at CIEE Kyoto. Working as part of the College Program team in program planning and implementation, the Program Assistant actively supports both CIEE staff and College program students.
The Program Assistant undertakes a variety of administrative and on-site management tasks, providing an essential link between exchange student programs and the CIEE office in Kyoto as well as a unique perspective on local life and culture within the host country.
The Program Assistant must be responsible, organized and detail-oriented, energetic, and patient. The Program Assistant must possess advanced Japanese and English ability and must be authorized to work in Japan. The position may include weekend and evening shifts.

Strategic Support & Leadership
- Assist in organizing and implementing student programs including airport pickups, orientation, cultural activities, and excursions.
- Plan and deliver activities promoting experiential and intercultural learning.
- Provide supervision, support, and discipline as needed.
- Ensure compliance with CIEE health, safety, and emergency procedures.
- Perform other duties as assigned.
Marketing
- Contribute to promotional materials and update digital content for predeparture and orientation.
- Manage student communications, including social media, newsletters, and blogs.
Finance
- Ensure budget compliance through timely reporting.
- Manage cash handling and receipts efficiently.
Stakeholder Relationships
- Build partnerships with accommodation providers and community organizations (e.g., businesses, health services, volunteering).
Health, Safety & Security
- Enforce CIEE policies and respond promptly to student issues (behavioral, health, safety).
- Accompany students to clinics, facilitate translation, and manage health provider relationships.
Essential Criteria
- Bachelor's degree or equivalent experience in higher education.
- Strong background in student services and community engagement.
- In-depth understanding of student experience best practices.
- Excellent organizational, communication, and interpersonal skills.
- Proficient in English and Japanese.

Overview of Position:
The Career Development Office at TUJ aims to help develop undergraduate students' abilities to find the best career path before they graduate. The office provides career advising, seminars on job-hunting strategies, and guidance on internships, resume writing, and interviewing techniques. Each student is given comprehensive support to assist in their job hunting and career development.
The Career Advisor will support students in connecting to internship opportunities and full-time jobs after graduation. The advisor will be responsible for managing the Kyoto-based undergraduate internship program, which is one of the flagship initiatives of the university.
The person who takes this position is based in Kyoto to provide hands-on support at the new campus; however, the work will be focused on supporting all TUJ students.

Primary responsibilities
-Assist in organizing and executing the TUJ internship program in Kyoto and Tokyo in collaboration with Undergraduate Internship Program Coordinator in Tokyo
-Maintain, expand and develop relations with internship sponsors, with a particular focus on Kyoto
-Strategically recruit new internship organizations in Kyoto and Tokyo
-Advise and assist students in finding internships in Kyoto and Tokyo
-Manage extensive email communications with students, internship sponsors, and faculty supervisors
-Organize and present internship information sessions in Kyoto or virtually
-Create, edit, and maintain internship information on Canvas and the university portal
-Monitor students to ensure they correctly complete the required procedures during the limited application period and provide guidance as needed.
-Create and maintain careful records of internship applications, placements, and evaluations
-Communicate with study abroad internship applicants overseas
-Provide individual career advising, particularly assisting in entry sheet editing for student’s job hunting in Japan

TUJ’s Academic English Program (AEP) offers both semester-long and short-term academic English programs of all ages, from elementary school students to adults. The Assistant Director will play a key leadership role in planning, executing, and continuously improving academic English programs at TUJ Kyoto. This position involves overseeing day-to-day operations, developing new programs, supporting instructors and students, and collaborating closely with internal and external stakeholders to ensure program success.
The Assistant Director will manage administrative processes, support program marketing and promotion, and ensuring smooth program delivery at TUJ Kyoto. As AEP serves as student pipeline into TUJ, the Assistant Director will assist with recruit efforts and liaise with private and public stakeholders regarding potential and actual programs.
